The DC Blogging Clubs Privacy Policy

1. Introduction

The Durham College Blogging Club ("the Club") is committed to respecting your privacy and protecting your personal information. This Privacy Policy explains how we handle any data you provide when engaging with the Club, including interacting with our website, blog, or other activities. The Club takes reasonable precautions to avoid the unauthorized access and distribution of any sensitive information shared with us, whether by voluntarily or involuntarily means. Most information shared with us will be elective and will require your consent to proceed, however, there are some areas of the website that are controlled by the web host site or through Apps which collect some data to run properly. These outside sites and Apps will sometimes be covered by their own privacy policy, and we will list them below for your convenience.  

2. Information We Collect

The Club does collect some personal information from members or visitors through elective means, meaning you ("the site user") would need to manually enter the details for us to have access to them. Should you elect to share any personal information voluntarily with us, we will consider that you have given us consent to engage with you or use that information in the specified way which was explained to you during the request for said information.

Microsoft Forms Surveys:


We collect some personal data such as your name, email address and answers to survey questions through Microsoft Forms Surveys that are embedded throughout the website. Types of forms we use:

  • Leadership Role Applications

  • Elective Surveys for Club Research

 

​In Website Apps:

We collect some personal data such as your name, email address, member login details and billing details through the following Apps and sections of our Wix based website. 
 

  • Blog Newsletter

  • ​Groups Login

  • Event Calendar

  • Wix Donations

We may collect non-personally identifiable data through:
 

Anonymous Website Usage Data:

  • IP addresses

  • Browser types

  • Device information
     

Cookies:

Cookies are also used to enhance user experience, and you can control or disable cookies through your own browser settings.​

3. How We Use The Information

Data that is voluntarily provided is predominately used for:

  • Recruiting and on-boarding new Club Members

  • Processing payments or collecting donations

  • Sending newsletters pertaining to club affairs

  • Running the installed website Apps 

  • Providing event details such as alerts and registration confirmation

  • Conducting club research via surveys and polls


We use the data we collect solely for the following purposes:
 

  • To improve the website: Anonymous data helps us understand how visitors interact with the website and allows us to optimize the user experience and improve over time.

  • To analyze and enhance content engagement: We may analyze blog post views or content interaction (e.g., likes, shares) to help us better understand content trends. This information remains anonymous.

  • To perform essential functions: For example, to run Apps and website functions which require minimal data to operate properly.

4. Sharing of Information

Information collected on a voluntary basis through online survey is collected by the leadership team of the DC Blogging Club. The information collected can be anonymous, or contain personally identifiable information.  
 

  • Anonymous Surveys: These surveys are usually research based and ask questions related to your demographic details and your relationship to the research question being investigated. These types of surveys do not usually require you to add your name or other identifiable information. However, they may contain the option to opt into a newsletter which you can decline or accept at your own discretion. 

  • Identifiable Surveys: All application surveys require the collection of personal data as you are registering with the club for a membership or leadership role. These surveys will require an active Durham College email address to access the application and are meant for full-time students of the college.

Any data collected by the Club is stored on the college servers within the leadership teams Microsoft account. Once collected the data is analyzed and the statistics are shared with relevant parties of the club, including the leaders and club members if necessary. Emails and names of those surveyed are not shared with anyone outside of the leadership team, and even then it is only for the purpose of completing essential agreed upon tasks (such as for sending newsletters, or for joining the Club).  
 

We do not share or sell any personal data to third parties. Like most websites, we may use third-party services (such as Google Analytics) to analyze anonymous website data. We may also use Apps which store information independently of us to provide this service to us. These third-party services are governed by their own privacy policies.

5. Cookies and Tracking Technologies

Our website uses cookies to help improve user experience and website performance. These cookies collect anonymous data, such as usage patterns. You can choose to disable cookies in your browser settings, but please note that doing so may affect certain website features.

6. Data Retention

We keep records of all club members who apply via the application survey. All data collected electronically is kept by the Club and stored in the Club's school associated Teams data-base. We will maintain these records of all club members who applied and participated in club functions until the club's end. Research survey data will also be kept and stored as long as it is relevant. 

 

Non-personally identifiable data collected for website analysis is temporary and used to improve the site's functionality. We do not access this data beyond the analysis of website metrics. 

7. Your Privacy Rights

Our club is based in Ontario, Canada and as such we operate under the privacy policy regulations laid out by the Province in which we reside. If you have any concerns about the safety of using our website, we remind you that engaging with our website is elective and not required. If you are not comfortable sharing your information with us, please don't.

If you engage publicly (e.g., posting comments on the blog), please be mindful of the content you share, as it may be visible to others and it will not be removed unless it is deemed inappropriate or vulgar. Use the contact details below to reach out to us should you have questions about our policy, or you would like to request that we remove your personal information from our data-base or website. 

8. Associated Privacy Policies

As specified above, here is a list of the Apps and other sites that are used or connected with our website, as well as their associated privacy policies. These applications and sites may also gather your personal data to perform their functions or to enable their services. If you have specific questions about these sites or Apps please consider their individual policies, as they are predominately responsible for the security of the information that they gather.

9. Changes to This Policy

The Durham College Blogging Club reserves the right to update this Privacy Policy at any time. Any changes will be posted on our website, and the updated policy will take effect immediately upon posting.
